Being a good tenant and neighbor can pay dividends! It can assure better references once your lease concludes and following our guidelines can help ensure a larger return of your deposit funds. Here, you will discover a listing of common, general policies ranging from rent payments to picture hanging.
State Street Village: This community has additional Community Policies and Maintenance Policies. Please refer to your lease and addendums. Please note that Comcast is the only TV, Internet, and Telephone Provider allowed to be used in this property.
Rent is due on the 2th of the month prior to the month the rent is due and will be considered late as of the 2nd of the month and late fees will be added.
Preferred payment method is online through your Tenant Portal- For fast, easy, and secure payments use the online payment option in your tenant portal. You can set up auto-payments or one-time payments, with a checking or savings account or credit card (there is a convenience fee charged for using a credit card). Rent reminders can be emailed to you.
Upon vacating, be sure to drop keys off at the office drop box in an envelope with your name and full address. We will not consider you vacated until the marked keys are returned. Do not leave them in your rented space. We will notify you in writing no more than 60 days after receiving the keys to your unit of the charges against your deposit, if any. Refund checks will be mailed in the names of ALL tenants on the agreement.
Call the office for any roommate changes prior to change. All roommate changes (additions or removals) must be screened and approved before any change can occur. Failure to adhere to this is a violation of the lease and could result in Tenant/s being in default of the lease.
If there is to be a new or replacement roommate, that person must submit a completed rental application. In the event that the incoming roommate qualifies but with an ‘Additional Deposit’, the new additional deposit amount will be charged to the tenant ledger and the new roommate must pay the additional charges.
Once qualified, the tenants, as well as the new roommate, must sign a new lease agreement that will meet or extend the current lease term BEFORE the new roommate moves in.
The exiting roommate cannot be removed from the LEASE without paying a lease buyout fee during lease period.
All of our rental properties are smoke free, this includes all tobacco and marijuana products. Please be courteous to neighbors by not smoking within 10ft of any exterior door, window, or vent. Please also be courteous by using the provided cigarette disposal containers at the apartment buildings. There is a $1,500 fee that will be charged to any Tenant that is found to be smoking inside of any apartment or home.
No pets without written agreement and subject to the nuisance and noise requirements listed in your lease. Please refer to your lease and pet addendum for more detailed information. Failure to comply with the lease and pet addendum may result in permission for the pet to remain at the property being terminated.

During the winter months it is important to guard against property damage due to freezing weather. Keeping your unit warm and well ventilated will reduce the risk of freeze and mold or mildew buildup.
Please use the following tips:
* Keep your heat above 60 degrees when you will be gone for more than 24 hours;
* Open cabinet doors to expose plumbing to heat. If your pipes break, immediately shut off water; and call us.
* Keep a steady drip flow in the faucets when temperatures are below 32 degrees.
Tenant shall obtain written permission before installing: signs, air conditioners, antenna, satellite dishes, or any other devices to the exterior or interior walls, windows, or roof of the premises.
Southern Colorado Realty highly recommends obtaining a renters insurance policy. This can usually be done through the same insurance company that you have auto insurance through. The landlords property insurance does not cover any of the tenant’s personal property from fire, theft, roof or plumbing leaks, and other occurrences that may damage your personal property.
Southern Colorado Realty requires Landlord Liability Insurance with a minimum coverage to Landlord of $100,000. Landlord Liability Insurance coverage will be automatically added for you if you choose not to carry your own renter's insurance policy at a charge of $12.50 per month. Please refer to your lease and the Renter's Insurance addendum for more detailed information.

Statutory Notices to Landlord and/or Southern Colorado Realty shall be delivered electronically through the online Tenant Portal ONLY or by mail at 136 Elm Street Trinidad CO 81082.
You are expected to maintain your home and keep it in as of good condition as when you took possession. You are responsible for notifying Southern Colorado Realty promptly of any needed repair or maintenance items. Any damage caused to the property due to Tenant's failure to promptly notify Southern Colorado Realty will be charged to the Tenant.
Tenants are responsible for securing any pets that the repair person may encounter, on their visit to the property.
You must be prepared to give permission to enter or make yourself or a representative available to let a repair person into the unit to make repairs. By allowing permission to enter, repairs will go much faster. If you must be present, we will give you a 8 hour window for our repair-person to arrive. If it is an emergency maintenance issue, repair people will enter without notice and Tenant will be notified of the emergency entry into the unit. Please refer to your lease for more detailed information and policies.
Being locked out of your home or apartment is not considered an emergency.
If the Emergency is Life Threatening Call 911 Immediately.
Emergency is defined as: Anything relating to the property under the lease that is threatening to life, health or the integrity of the property. Examples of a maintenance emergency: Fire, flood, broken pipe or sewage backup, gas odor. These are the basic calls that may constitute an emergency. If you have a situation other than these, that is immediately hazardous, damaging or detrimental call the MAINTENANCE HOTLINE at 719-266-3544
Non-Emergency/Routine Maintenance-The following are examples of non emergencies-annoying noise, minor leaks, refrigerator not working, tenant locked out of unit, clogged toilet or drain, no hot water, power or gas off, oven not working, neighbor noise complaints.
Southern Colorado Realty is not responsible for loss of food due to an appliance failure.
Tenants need emergency preparedness for their own families (cooler, space heater, etc)
If there is an emergency after office hours, please call our MAINTENANCE HOTLINE 719-266-3544 (Lock out is not considered an emergency) If you have a locksmith come to the property to let you into your unit just have them let you in and contact us for new keys. Our locks are custom and we will have to charge you the re-key fee.
Warning- If you claim you have an emergency or a needed repair and one does not exist, you will be charged for the cost of the service call.
Tenants are responsible for keeping fresh batteries in smoke and carbon monoxide detectors. Removing or tampering with smoke alarms or carbon monoxide detectors is a violation of your lease.
Plumbing or fixtures leaking-Turn off water at supply line under sink or behind toilet, or at water heater and contact Southern Colorado Realty immediately 719-266-3544 or log into your portal to submit a maintenance request.
If your toilet is plugged please plunge it and if the toilet is overflowing turn water off at the shutoff behind the toilet and mop up any excess water. Many homes and apartments now have low-flow toilets. We strongly recommend that you keep a plunger on hand. Low flow toilets tend to clog or back up if too much paper etc. is flushed.
Never put sanitary napkins, diapers, handy wipes, napkins or paper towels down the toilet. If a clog is caused because these items or any other item flushed other than toilet paper, the tenant will be charged. A plunger should always be kept on hand and tenants are expected to plunge their own toilets.
Avoid storing things on top of the toilet as things may fall into the toilet causing it to back up. (This would also be charged to the Tenant.)
Avoid letting hair, grease, or other foreign objects go down the drain. After bathing make sure to remove any excess hair left in the drain catcher to help avoid clogs. Be sure to scrape all dishes of excess food before loading them into the dishwasher or putting them into the sink. These Tenant caused backups along with items getting stuck in the garbage disposal will also result in a Tenant charge.
